What to Buy When Your In-House Experts Ask for Equipment: A Buyer's Guide

I'm the office administrator for a mid-sized manufacturing company—about 180 employees across two buildings. I handle all the indirect purchases, every request that lands in my inbox from the production floor. That's roughly $350k a year across 30 vendors. I report to both operations and finance, so I'm the one who has to justify every order.

When I took over this role in 2020, I thought maintenance requests would be straightforward. Someone says they need a part, I buy it. But after five years of getting it wrong, then getting it right, I've learned that almost every request hides a decision point. There's no universal answer. It depends.

If you're about to buy a replacement for an air compressor, evaluate a blower request, or respond to an office air quality complaint, take a breath. I'm going to break down the scenarios I keep running into and what actually worked.

Four scenarios, one mindset

Almost every equipment request I get falls into one of these:

  • An error code appears on a compressor display
  • A mechanic asks for a specific replacement part
  • Someone demands a portable blower
  • The office smells musty and someone suggests an air purifier

Each of those requires a different answer. Let's go through them one by one.

Scenario A: Your Kaeser Compressor Shows an Error Code

This is the one that used to terrify me. The compressor goes down, the shop floor stops, and the foreman is already on the phone with a service company. I used to say yes to whatever repair quote came back.

Then in 2023, we got a fault code on a Kaeser SM10. The tech we normally use said it was a failed oil pressure sensor and quoted $1,400 to replace. When your maintenance guy says "I need a separator element for the compressor," it's tempting to search by description and buy whatever comes up. I learned that lesson the hard way.

In 2022, my tech asked for an "air/oil separator for a Kaeser compressor." I ordered a well-reviewed part from a parts reseller. It didn't fit. Not even close. The part number on the nameplate was different. I ate the cost—about $230 including return shipping. (Should mention: I still don't know why the listing said "compatible," but I don't trust that word anymore.)

Here's the thing: if you have a compressed air system on site, a simple blowgun does most of the tasks a portable blower does—and it runs on air you already pay for. A blowgun costs about $15. A Milwaukee blower costs $150+. It only makes sense if you need portability, i.e., no air line available, or if you're working outdoors on a roof.

So before you buy a Milwaukee or any other brand blower, ask: Do we already have compressed air where this will be used? If yes, get a blowgun. If no, then the blower is justified.

Now, I'm not anti-Milwaukee. I use their drills and impact drivers. But in procurement, you're buying the utility, not the brand. One of our crews needed to clean leaves out of a loading dock gutter and clear snow from equipment before start-up—no air lines there. A Milwaukee blower made sense for that crew. But the maintenance shop that always works near a compressor? They got blowguns, and they've been fine.

The counterintuitive part: some people think "modern solution = a powered blower." In a facility with compressed air, the older solution is often the smarter one.

Scenario D: Air Purifier vs Dehumidifier—It's Probably Not What You Think

I can't tell you how many times someone in the office complains about stale, musty air and the immediate call is "we need an air purifier." I bought a HEPA purifier for our break room in 2021. It did nothing for the smell.

The issue wasn't particles. It was dampness. The room sat above an unvented crawlspace, and the humidity was around 70%. The smell was mildew. The air purifier was filtering spores that were being generated by the dampness—like sweeping dust while the roof leaks.

People think "dirty air means purifier." Actually, in most musty offices, the sequence is: high humidity → mold growth → musty smell. The remedy is to remove the moisture, not just filter the result. That's why I tell people to test before they buy. Get a $10 hygrometer, place it in the room for 24 hours, and read the percentage.

  • Humidity above 60%: get a dehumidifier first. Once it's below 55%, reassess the smell.
  • Humidity between 40-50%: an air purifier with a carbon or HEPA filter can help with odors and allergies.
  • Humidity below 35%: well, purifier won't hurt, but you might also consider a humidifier if people have dry throats.

In our case, we moved the break room purifier into an office and bought a medium-sized dehumidifier for the break room. The musty smell was gone within a week. We still have the purifier; it helps with allergens, but it wasn't the right first buy.

How to Tell Which Scenario You're In

Here's the quick decision process I use when a request lands on my desk.

  1. Does the request involve an error code or warning light? → Search for the error code first, check the manual, inspect wiring/sensors before authorizing a repair.
  2. Is it a replacement part request? → Get the official parts diagram, confirm the part number, then comparison shop by part number.
  3. Is it a tool request for blowing air? → If the location has an air compressor, buy a blowgun. If portability is critical, buy a brand-name blower like Milwaukee.
  4. Is it an indoor air quality complaint? → Measure relative humidity. Above 60% means dehumidifier. 40-50% means purifier (or maybe just cleaning).

Not every request fits neatly into these four buckets. But in my experience, asking those extra questions saves me from at least one misbuy a month. And it keeps the internal customers happy, because they see that I'm solving their problem, not just processing a PO.

Procurement isn't glamorous. But it's the difference between spending $1,400 on a service call and spending nothing on a wire cleaning, or between a room that still smells and a room where people can actually work. That's worth the extra five minutes of questioning.
